Established in 1948, The International Union for Conservation of Nature (IUCN) is a membership Union composed of both government and civil society organizations. It harnesses the experience, resources and reach of its more than 1,300 Member organizations and the input of more than 10,000 experts. IUCN is the global authority on the status of the natural world and the measures needed to safeguard it.

IUCN has had its operations in Tanzania for more than four decades working with many partners and supporters to implement a large and diverse portfolio of conservation projects ranging from management of protected areas, forest ecosystems, coastal resources, aquatic ecosystems, and climate change resilience. IUCN/Tanzania, among other projects, is currently implementing the activity, “Scaling-up Nature-based Solutions for Climate Change Resilience in Tanzania” (RESOLVE-NbS).

Major Responsibilities

Under the guidance and supervision of the Operations and Procurement Officer, the Administrative Assistant provides support to office operations performing a variety of standard administrative processes ensuring high quality and accuracy of work.

Summary of Key Functions

  • Implementation of operational strategies
  • Support to effective and efficient functioning of the field office
  • Support to administrative and logistical services
  • Support to office maintenance and assets management
  • Support to knowledge building and knowledge sharing

Specific Duties

Operational Strategies

  • Full compliance of administrative activities with IUCN rules, regulations, policies and strategies.
  • Provision of inputs to the field office administrative business processes mapping.

Field Office Functioning

  • Contacts with visitors and staff, arrangement of appointments and meetings.
  • Compilation of briefing materials for meetings and missions.

Administrative & Logistical Support

  • Support to organization of procurement processes.
  • Arrangements of travel and hotel reservations.
  • Administrative support to conferences, workshops, retreats.

Requirements

Education

  • A diploma or university degree in a relevant discipline including Corporate Management, Human Resources Management, Sociology or similar degree.
  • Basic knowledge of environmental/natural resource management (added advantage).

Work Experience

  • At least one year of professional experience in administration or programme support service.
  • Experience in handling web-based management systems.

Language Proficiency

  • Fluency in English and Kiswahili (both written and verbal).
