Procurement Administrator – Stock & Consumption at International Facilities Services

Purpose of the Role

To facilitate local supplier development through the identification of potential suppliers, the provision of support towards a growth agenda and participation in supplier audits to assure accreditation. To plan, order and follow up on the supply of stock required by the operational sites.

Key Responsibilities

Planning & Forecasting

  • Collaborate with the Supply Planner to analyze site stock requests and forecast demand.
  • Assist in developing a weekly call-off schedule per supplier and communicate this with vendors.
  • Gather weekly stock take results from operational sites for consumption analysis.
  • Support the implementation of contingency plans for stock deviations.

Procurement & Buying

  • Select vendors based on price, quality, quantity, and delivery timelines using the Master Price List.
  • Process purchase orders on SAP and ensure visibility to stakeholders.
  • Follow up on orders and address supplier issues.

Supply Chain Administration

  • Maintain accurate supplier data in SAP.
  • Ensure timely entry of Request for Quotations (RFQs).
  • Support maintenance of supplier contracts.

Health, Safety, and Hygiene Standards

  • Ensure suppliers meet HACCP, ISO 22000, OSHA compliance.
  • Procure materials supporting a safe environment.

Corporate Social Responsibility (CSI) & Supplier Development

  • Coordinate local supplier development initiatives.
  • Develop annual CSI programs with measurable KPIs.

Key Performance Indicators (KPIs)

  • Accuracy of purchase orders and supplier data.
  • Stock availability and reduction in stock-outs.
  • Supplier compliance with health/safety certifications.

Qualifications & Experience

  • Degree in Supply Chain, Procurement, Commerce, or related field.
  • 4+ years in FMCG/hospitality procurement.
  • Proficiency in SAP and Microsoft Excel.
  • Driver’s license (advantageous).
