Position summary
Guided by FHI Tanzania’s core values of
Faith, Empowerment, and Recovery
the Finance and Admin Officer will play a key role in supporting the organization’s financial and administrative functions.
The position involves managing day-to-day financial transactions, monitoring grants and budgets, and ensuring compliance with Tanzanian tax laws, donor requirements, internal financial controls, and FHI financial policies.
The officer will also provide essential administrative support, including procurement processing, office logistics coordination, asset register management, and human resources documentation support.
The Finance and Admin Officer will work closely with the Designated Supervisor and programme teams to promote effective stewardship of resources, accountability, transparency, and operational efficiency.
Key responsibilities
Financial management and reporting
Maintain accurate bookkeeping and properly file financial records and supporting documents.
Manage daily financial transactions and enter financial information into QuickBooks or Odoo.
Complete monthly financial reconciliations.
Perform bank reconciliations and monitor organizational cash flow.
Manage petty cash and maintain appropriate supporting documentation.
Prepare and process payroll and statutory deductions.
Support the preparation of organizational and programme budgets.
Assist with grant reporting and ensure compliance with donor requirements.
Prepare monthly financial reports, forecasts, variance analyses, and internal financial summaries.
Liaise with banks, auditors, and donors on financial matters.
Compliance and internal controls
Ensure compliance with Tanzanian tax regulations, applicable statutory requirements, donor conditions, and FHI financial policies.
Support statutory compliance activities, including preparing documentation for relevant filings where applicable.
Maintain and promote strong internal financial controls.
Train staff on financial procedures and promote accountability and transparency across the organization.
Procurement and administration
Manage procurement administration, including quotation comparisons, purchase documentation, and vendor records.
Review procurement documents to ensure compliance with applicable policies and procedures.
Support the maintenance of the organization’s asset register.
Provide support with human resources documentation.
Coordinate office logistics and support general office administration.
Perform other operational and administrative duties as assigned.
Minimum qualifications
Applicants must have
A bachelor’s degree in Accounting, Finance, or a related field.
At least three years of relevant professional experience, preferably within an NGO.
Proficiency in QuickBooks or Odoo.
Proficiency in Microsoft Excel.
Familiarity with Tanzanian statutory compliance requirements.
Strong written and verbal communication skills in both English and Kiswahili.
A CPA or ACCA qualification will be considered an advantage.
