Reports to: Warehouse Manager
Purpose of the role
The Warehouse Assistant is responsible for supporting the efficient operation of the warehouse by receiving, handling, organizing, and dispatching materials used in production and other departments on the farm. This role requires strong attention to detail, physical stamina, and a proactive approach to maintaining inventory accuracy and workplace safety
Job Location: Based, Arusha.
Responsibilities
Inventory & Stock Control
Receive, inspect, and accurately record deliveries of materials, including greenhouse supplies, fuel, tools, equipment, food items, and consumables.
Organize and store items in designated bin locations and storage areas, ensuring proper labeling and safe stacking practices.
Conduct regular stock counts and assist in periodic inventory audits.
Monitor stock levels and promptly report shortages or discrepancies to the Warehouse Manager.
Ensure all storage areas are safe, secure, clean, and well-maintained.
Manage stock replenishment in accordance with FIFO/FEFO principles using the IBMS ERP inventory management system.
Order Fulfillment & Dispatch
Pick, assemble, and prepare materials for internal departments based on approved requisitions, as well as for external deliveries to other locations.
Prepare accurate documentation for all issued materials, including consumption-out notes, store transfers, and gate passes, ensuring all outgoing shipments are properly recorded.
Load and unload delivery vehicles safely and efficiently.
Data Entry & Verification
Accurately enter inventory data from both physical documents and electronic sources into the system, including purchase requisitions, gate passes, and store requests.
Verify the accuracy and completeness of data by cross-checking entries against original documents, identifying errors, and making necessary corrections.
Maintain a well-organized filing system to ensure easy retrieval of information.
Collaborate closely with team members to clarify discrepancies, resolve issues, and maintain data integrity.
Equipment, Operation & Maintenance
Operate warehouse equipment such as pallet jacks, forklifts, and hand trucks (training provided).
Maintain cleanliness and organization within the warehouse, including proper waste management.
Consistently use provided personal protective equipment (PPE) and comply with all health, safety, and environmental regulations.
Collaboration & Support
Work closely with greenhouse production teams and other departments to ensure timely and accurate supply of materials.
Participate in continuous improvement initiatives to enhance warehouse efficiency and effectiveness.
Perform any other duties as assigned by the Warehouse Manager.
Requirements
A Diploma or Degree in Business Administration, Supply Chain Management, Logistics, or Procurement.
Proficiency in Microsoft Office applications and ERP systems.
High level of integrity and professionalism.
Physically and mentally fit to perform warehouse duties.
Sound knowledge of warehouse operations and procedures.
Strong ability to accurately follow established processes and procedures.
Team-oriented, with a willingness to contribute effectively to team objectives.
Proficient in English, both written and verbal.
Ability to work under pressure and meet tight deadlines.
Strong attention to detail and accuracy.
